10/02/26 Question: Clarification on hedge height Page 14, 2.2.13 and 2.2.17 in relation to section 2, map 6 - The hedge in this setting currently sits some height above 1.2m. We are happy for it to be maintained at its existing height.

10/02/26 Question: Clarification on additional line markings Page 17, 2.3.15 - We may request additional markings beyond the defined football season should we receive a booking request.

10/02/26 Information: It has been brought to our attention that 3rd party promotors have been engaging with bidders. 10/02/26 Question: Clarification on lump sum for preparation and planting of beds Page 11, 2.1.24 - This should cover the labour for bed preparation and planting inc. materials associated with e.g. compost. The cost of physical plant stock (flowers, shrubs, etc.) will be covered by the council. Furthermore, the council will detach, deliver, retrieve, and re-attach railing planters biannually with the bidders maintaining them in between.

11/02/26 Question: Concern over current state of fire breaks Page 16, 2.3.11, Map 40b - potentially neglected and may require more significant works initially. If so, the council will consider said initial works separately.

12/02/26 Question: Clarification on subcontracting of specialist aquatic herbicide - We are looking for relevant skills within the bidders staffing. However, we might be willing to be flexible given the specialism of the task but would not accept any additional "hidden" charge from the bidder to perform this service. This would have to be factored into any bid put forward.

12/02/26 Question: Clarification on sports pitches - Renovations, aerations, and overseeding is not included in the scope of Lot 3 but, line marking is, as is an additional line marking clause.

12/02/26 Question: Minimum public liability insurance - This is detailed on Page 5, 1.12.

12/02/26 Question: Is machinery fleet information required within the Contractor Information Form - You should evidence your ability to fulfil the contract; therefore, you could do so by providing machinery fleet information.

12/02/26 Question: Clarification on yellow markings Page 18, 2.4.11. Map 18 (7of7) - whilst faint yellow markings can be seen on Map 18 (7of7) these areas are not rough grass therefore, 2.4.11. is not applicable. The focus of this map is the hedge marked brown at Foxhills Allotment as per the map title.

Scope

Description

Totton & Eling Town Council requires grounds maintenance services from external suppliers to fulfil duties such as grass cutting, shrub and hedge maintenance, planting and watering, assistance with re-wilding programmes and other duties as detailed in forthcoming documentation. Services required are spread across 5 sections (lots). Each lot has a different area of focus e.g. horticulture, grass maintenance of varying frequency, ditching work etc.

Description of possible extension:

Lot Section 1. Prestige Grounds Maintenance

Description

2.1.1. The Contractor shall provide a grounds maintenance service at the locations shown coloured green, red, purple, light blue, orange and brown on map numbers 1, 1a, 2, 2a, 3 and 5 from April to March excluding December, January and February.

2.1.2. The grounds maintenance service includes grass cutting, hedge trimming, weed control and other seasonal work relating to footpaths, grass, tree, plant, shrub maintenance and the like.

Description

2.2.1. The Contractor shall provide a grounds maintenance service at the locations shown coloured green, blue, orange with black stripe, orange and brown on map numbers 3b

and 3c to 6, 13a, 15A & 33 to 35 from February to November inclusive.

2.2.2. The grounds maintenance service includes grass cutting, hedge trimming, weed control and other seasonal work relating to footpaths, grass, tree, plant, shrub maintenance and the like.

Lot Section 3. Grass Cutting & Pond Management

Description

2.3.1. The contractor shall provide a grass cutting and weed control service at the locations shown coloured green, green with blue dots and hatched areas on map numbers 7 to 15, 36, 40 & 40b from April to March excluding December, January and February.

2.3.16. Clear the Town Park ponds shown dark blue on map number 1 of reeds to a maximum of 70% by hand and arisings removed from site, the Council will indicate which reeds are to remain. Spray reeds and parrots feather with a suitable aquatic herbicide.

2.4.1. The Contractor shall provide a grounds maintenance service at the locations shown coloured green, yellow, yellow with black hatching and pink on map numbers 7, 9, 10, 11, 16, 16A, 16B, 17 to 23, 23a, 23b to 31 & 37 to 39 from April to March excluding December, January and February.

Description

2.5.1. The Contractor shall provide a grass cutting, grounds maintenance and rewilding service at the locations shown coloured orange, brown, brown chequered, green chequered, green crosshatched, blue crosshatched, pink dotted on map number 41 from April to March excluding December, January and February.

2.5.2. The grounds maintenance service includes grass cutting, hedge trimming, weed control and rewilding work relating to footpaths, grass, tree, plant, shrub maintenance and the like.
