We want our staff and students to be able to do everything within the same system rather than having to come from one system to another for different media related work; we require all the media tools and functions within this document to be met through one system.

two.2.4) Description of the procurement

ARU is looking for a single media solution to primarily provide a rich and engaging learning, teaching and assessment experience for academic staff and students, while offering the ability to share with other groups such as the general public, and specified individuals such as external examiners and employers. We want our staff and students to be able to do everything within the same system rather than having to come from one system to another for different media related work; we require all the media tools and functions within this document to be met through one system. We require your system to seamlessly integrate with Canvas LMS. It is a requirement that the system will work with the data supplied by our student admin system Astra (SITS Tribal) in as much as it needs to identify our registered users. The system will complement our use of Microsoft Office tools, in particular Microsoft Teams. We require that we can export and download statistical data from the system to ingest into other statistical software, such as, Excel and QlikView. The media system will help us with our mission to ‘bring Canvas to life’ by promoting a rich and highly interactive layer to the educational experience. We require a system that we can create, edit, and stream media including, but not limited to; video, audio, with interactive aspects such as polls, etc, and are open to the possibilities of the system providing tools for graphics and interactive augmented reality materials. Greater use of digital media for pedagogic purposes will support the generation, interrogation, and presentation of knowledge as a significant basis for active learning. ARU aims for the implementation of the media system to take place in readiness for the start of 2022/23 academic year, with testing and piloting taking place in the 2021/22 academic year. Implementation will require that our existing media is moved from its current storage onto the single media system prior to the 2022/23 take up by our academic community. ARU require the right of ownership to all materials we create and upload to your system. Where appropriate, we would require the ability to add our branding, and change the look and feel to the interface. We require that the system is Software as a Service (SaaS), as such it does not require local installation and is updated via the cloud. We also require that media is stored in your cloud, not on our premises. We require that your system works as ‘single sign on’ within our environment. Our preferred solution is Azure AD using either SAML or OpenID Connect. During the tender process a test area/sandpit is required. The ability to test scenarios by means of a test system/area/facility is required if we adopt your system, for ongoing use. The ability to create test accounts for the live system is highly desirable. The ability to see and explore system updates before they go live are highly desirable. Following contract award there is a requirement to run a pilot during Tri-2 21/22 to the specifications outlined in the tender documents. If successful, the contract will be for a three-year term from the Go Live date, with the option to extend for a further 2 x 12 months.
