two.2.4) Description of the procurement

Scottish Borders Housing Association (SBHA) is seeking to award a contract for the Provision of Grounds Maintenance Services across its Housing estates, full details of the services and the requirements are set out in the Specification of Requirements document. The Service is expected to commence in April 2024 and is for an initial period of three (3) years. SBHA, may extend the Contract on two occasions for a period of twelve (12) months. The maximum possible term of the Contract is five (5) years. The estimated contract value is GBP450,000 per annum including VAT, totalling GBP2.2 million over the full term.

Description of renewals

The Service will commence in April 2024 and is for an initial period of three (3) years. SBHA, may extend the Contract on two occasions for a period of twelve (12) months. The maximum possible term of the Contract is five (5) years. The estimated contract value is GBP450,000 per annum including VAT, totalling GBP2.2 million over the full term.

Description of options

SBHA has a growing estate, therefore suppliers are asked to note any additional premises will become part of the ongoing Services; the cost and impact of which will be discussed and agreed with the successful Supplier as a Contract variation based on contractual rates agreed. SBHA work collaboratively with other Anchor Institutions in the Scottish Borders. All businesses are exploring how we can all responsibly reduce our overall carbon emissions, targeting a just transition to net zero. Consequently, this may include mutually agreeing to carry out grounds’ maintenance for others whilst in a specific area. This is very much in its early stages of consideration and potential suppliers are asked to consider how they can contribute to this, any risks they perceive or any innovative ideas to achieve it.
