We have 9 Extra Care schemes located across North Wales with a 10th currently in development. In each service, residents receive a 2-course lunch option that is served in on-site restaurants.
At present, our requirement is to procure in the region of 11,000 meals per month. This can fluctuate +/- 10 % in any given month subject to residents meals required.
We require a provider to supply a range of lunchtime meal options for resident enjoyment and satisfaction in the quality of the meal provided. The lunchtime service is a huge selling point of our Extra Care service so meals should be healthy, nutritious and support residents’ wellbeing. The lunchtime meal is provided daily 7 days a week, 365 days a year. Residents receive a two-course lunch (main and dessert) and what we are looking to procure is the main element of the main meal. For example, pies, lasagne, curry’s, fish options etc. Each scheme has its own in-house catering team that cooks accompaniments to the main meal (e.g., potatoes & veg) and desserts so they are excluded from this tender.
It is our expectation that meal options will be made using fresh seasonal ingredients whilst meeting all national guidelines for older adults.
We are committed to moving away from Ultra Processed Food (UPF) during the first year of the contract so the supplier must demonstrate the commitment and capability to deliver non UPF meals in year 1 of the contract.
We also have an annual spend approximately GBP 500,000 and the supplier will be required to purchase food from an agreed list of preferred suppliers and provide ClwydAlyn with a consolidated monthly invoice for this spend. We would also require the supplier to provide evidence of annual benchmarking of these suppliers to ensure that we are getting optimum value for money. We require the supplier to provide access to their food ordering systems that will allow us to agree a suite of produce/goods and limit all ordering and purchases the items that are agreed with us.
We are committed to our Social Value objective of reducing food poverty and require a supplier to work with us in obtaining investment and developing partnerships with other organisations including voluntary and third sector organisations to reduce food poverty in North Wales.
