two.2.4) Description of the procurement

The Authority are tendering for an asset management solution to record and manage its operational equipment (on fire appliances and other technical support units*). The solution must provide testing functionality, and track all aspects of a defined item from cradle to grave. The supplier will need to provide the initial physical asset tagging and data collection services for the implementation phase (20k+ items). Therefore, we will only consider suppliers who are able to provide this full end-to-end service, whether it be in-house or via a 3rd party partner (preferably under sub-contract and with a single point of contact for account management acting as a main contractor). *(56 stations and 75 front line fire engines and a range of specialist operational support vehicles. Software Solution

The preferred way forward to improve asset management would be to procure an online solution. An online solution will provide all the essential features that we require to track and correctly name all the defined operational assets that the Service currently has. By having an online solution, it will eliminate the need for separate spreadsheets, and allow all the information to be stored in one reliable place. Therefore, by having all the information in one place, it will be easier to know when assets/equipment are due to be serviced, and also if anything has been lost and needs to be replaced. It will also ensure that all assets are serviced correctly throughout the year.

An online solution will have the ability to create custom bespoke reports for the Service, making it simple and easy to manage the defined assets and make the recording of all assets consistent. It will be a more efficient way of asset management for the Service, and it will also allow us to reduce corporate and personal risk by achieving compliance.

Initial Physical Tagging of Assets & Data collection

The Authority lack the resources to undertake the work of initially bulk tagging assets and if it were to be undertaken in-house would significantly extend the timeline of the project. Therefore, we are including this work in the scope of the tender.
