two.2.4) Description of the procurement
The main objectives of the project are to provide a database collections management system and a linked public catalogue website of artworks and publications owned by or on loan to the British Council, migrating all data from the current system. Examples of artwork data include: titles, artists, categories, descriptions, themes, media attachments, documents, condition notes, packing information, copyright, acquisition. This system will provide the following functions:
- Communication and workflow tools for team members to help manage day to day collection processes including information on availability of artworks, artwork wish lists and requirements, exhibition reservations and history of past exhibitions, conservation treatment requirements and historical conservation reports, up-to-date and historical valuations, research enquiries
- Processes support and data management tool for auditing, inventory, location and movement control, logistics, loans management, copyright, pre-acquisition etc.
- Website information feed, content management for the Collection and interlinked British Council exhibitions past and current
