two.2.4) Description of the procurement

This includes the annual gas servicing and repairs (a three star service) and associated replacement boilers and components (in accordance with the detailed service specification set out in Appendix 1) to all of our properties.

The scope of this service includes:

•Organising servicing and repairs directly with EPIC’s customers;

•Completing EPIC’s gas servicing programme, issuing LGSRs and ensuring that we are compliant with the Gas (Installation and Use) Safety Regulations 1998 (as amended);

•Undertaking required repairs identified as part of the servicing programme;

•Undertaking boiler replacements as identified as part of the servicing programme;

•Undertaking boiler replacements as components reach the end of their life as instructed by EPIC.

two.2.4) Description of the procurement

This includes repair works to make approximately 145 properties each year ready for relet to a new tenant, and repair/refurbishment works to between 6-35 properties that we acquire each year to bring them to EPIC’s Lettable Property Standard. The following works will be required:

•Clearance of properties where required;

•Completion of void works in line with EPIC’s specification, and returning the property as ready to let within 10 calendar days of being notified that the keys are available;

•Completion of refurbishment works to EPIC’s acquisition properties in line with EPIC’s specification and returning the property as ready to let;

•Completing an appropriate asbestos survey where one is not in existence prior to starting work;

•Completing an energy performance certificate (EPC) once repair/refurbishment works have been completed;

•Carrying out a legionella risk assessment and any identified remedial works;

•Issuing a valid landlord’s gas safety record (LGSR);

•Issuing an NEICIC electrical installation condition report (EICR);

•Issuing commencement and completion certificates where this is required by EPIC’s funders.

two.2.4) Description of the procurement

This includes responsive repairs to our properties, reported by tenants or EPIC staff, across the full range of trades. The service is a 24/7 service, which must be delivered 365/6 days per year. Approximately 3,200 responsive repairs are required per annum, and the required service will include the following:

•Taking reports of repairs directly from EPIC customers;

•Attending emergency repairs within 4 hours and completing the repair within 24 hours;

•Attending and completing routine responsive repairs within 14 days.

In addition, EPIC requires the following testing/inspection to be carried out:

•Undertaking asbestos surveys necessary to facilitate repairs where there is no existing suitable survey or information in place; this is estimated to be approximately 500 surveys over the life of the contract;

•Completing a programme of emergency lighting testing to our blocks and EPIC’s office premises;

•Delivering EPIC’s Electrical Safety Testing programme (excluding Voids and Acquisitions) and producing electrical installation condition reports (EICRs) in line with a schedule provided by EPIC.
