The spend for City internal events for 2019/20 approx £920,000, the framework list of approved caters will also be available to external clients hiring events spaces at the Guildhall, with all arrangements and including payment of catering services solely negotiated between external client and the caterer.

two.2.4) Description of the procurement

The nature of the procurement is to establish a new list of caterers to provide catering services at the Guildhall for City events including the use by external clients hiring events spaces at the Guildhall. The new list of approved suppliers will take effect from 1 January 2023.

The Guildhall event catering specification details the expectations and requirements for catering at Guildhall.

The duration of the Framework Agreement for the Guildhall Events Catering as indicated in the Specification will be for a core period of three (3) years. In addition, the Authority reserves the right, at its sole discretion, to extend this Framework Agreement by up to one (1) year, therefore the maximum duration of the Framework is four (4) years.

This tendering exercise is being undertaken using the electronic tendering system ‘capitalEsourcing’ (www.capitalesourcing.com). Suppliers will need to register an interest on the system in order to participate and registration is free.

The estimated value given at II.2.6) is for the full duration of the contract including the maximum possible extensions. The estimated annual contract value is therefore £920,000 for City Events, external clients can also use approved suppliers for events held at the Guildhall.
