Fleet Maintenance Services - Pre-Tender Engagement

Cardiff & Vale University Health Board (CVUHB) is one of the largest NHS organisations in Wales, providing a comprehensive range of healthcare services to the population of Cardiff and the Vale of Glamorgan. In support of its clinical and operational services, CVUHB operates a diverse fleet of vehicles essential to the day-to-day functioning of the Health Board. This includes transportation of patients, staff, equipment, and critical healthcare supplies.

To ensure the ongoing safety, legal compliance, and operational reliability of this fleet, CVUHB is preparing to go out to tender for the provision of a comprehensive fleet maintenance service. This will include but is not limited to:

• Regular vehicle servicing and scheduled maintenance

• MOT testing

• Mechanical and electrical repairs

• Accident damage repair and bodywork

• Supply of vehicle parts and consumables

• Breakdown recovery services

Scope and Background

The fleet comprises a mix of cars, vans, minibuses, and specialist vehicles used across various departments and facilities throughout the Health Board. The majority of the vehicles are centrally coordinated through our transport hub, with activities spanning a wide geographic area. Given the critical role these vehicles play in maintaining healthcare operations, the service provider must demonstrate high levels of reliability, responsiveness, and quality assurance.

Market Engagement and Tender Timeline

This notice is being issued to inform the market of an upcoming tender opportunity and to invite initial expressions of interest and feedback. The market engagement phase will run from 7th May 2025 - 14th May 2025, during which time interested suppliers are encouraged to register their interest and submit any preliminary questions or suggestions.

All formal procurement activities will be conducted through the eTender Wales portal: www.etenderwales.bravosolution.co.uk

The Invitation to Tender (ITT), including full specification and evaluation criteria, will be published in due course.

Suppliers are encouraged to respond to this engagement notice to help shape the final tender and ensure that the Health Board is aligned with market capabilities and innovations. Participation at this stage is voluntary and will not affect eligibility to bid on the future tender.
