two.2.4) Description of the procurement
Maidstone Grammar School for Girls is a selective grammar school in Kent with over 1200 students and 120 members of staff. The school consists of a number of separate blocks, dating between 1930’s and 2015 with a brand new 3 storey teaching block being built during 2022, coming into use from September 2023. This will replace 2 of the existing blocks and will provide excellent science and music learning facilities for the students and will enable the school to take an additional form of entry.
Maidstone Grammar School for Girls’ motto is “Non Sibi Sed Omnibus” meaning “not for oneself but for all.” This is evidenced by the community spirit in existence at the school, demonstrated both by the staff and students.
Tender information:
The tender project is seeking to appoint a contractor whose initiative and innovation will be welcomed for the provision of cleaning services within the facilities for the school. The high-quality service levels proposed, should maintain excellent standards throughout, resulting in a pleasant environment for both the pupils and staff.
The basis and rationale that the Client requires the successful contractor to operate to at all times, is being able to provide a School that is fit for purpose and that the Contractor is proactive in the management of the contract, thus ensuring that all specifications are achieved and that the frequency of cleans is as detailed within the Tender Specification.
The contract being tendered is for three years in duration 1st April 2022 to 31st March 2025 with the option to extend for up to a further 2 years at the discretion of the client. The contract will be fixed price in nature, with the Contractor invoicing the Client for one-twelfth of the annual cost on a monthly basis.
It should be noted that the successful contractor will be expected to bring to the contract: innovation; new equipment; and cleaning methods, with BICSc standards being achieved, as a minimum, thus ensuring that the highest levels of cleanliness are maintained in all areas at all times and also ensuring that the productivity of the cleaning operatives is enhanced moving forward into the new contract term.
Current cleaning arrangement:
At present there are 14 cleaning staff employed where the structure is:
•1 non-working cleaning supervisor
•1 additional working supervisor
•12 cleaning operatives
•There is a cleaner present in School during the day and one extra for the last 12 months due to additional cleaning requirements for Covid.
There are no incumbent members of cleaning staff who are members of the LGPS
The annual value of the current contract is £155,982
Therefore the value of the term of the contract is £779,910 (annual value of the contract x 5)

The contracting authority considers that this contract may be suitable for economic operators that are small or medium enterprises (SMEs). However, any selection of tenderers will be based solely on the criteria set out for the procurement.
