Description

LCRCA IT currently uses the Certero Unified Asset Management Solution to manage IT assets including hardware, software, and licensing. This system has been in place for over 10 years and extended beyond its originally approved term. While it provides valuable insights particularly around Microsoft licensing compliance the IT environment has evolved, with cloud services and SaaS assets becoming increasingly important.

To remain compliant with public sector procurement rules and to ensure best practice in IT Asset Management (ITAM), a procurement exercise is required. The current Certero contract is due to end in July 2025, but a one-year extension has been approved (via DD) to allow sufficient time to identify and procure the most suitable solution.

Engagement process description

• The Expression of Interest (EOI) stage is intended to identify suppliers who wish to participate in this PME and progress to the next stage of the procurement process. Suppliers interested in responding are required to opt in to the project via the Proactis portal.

• As part of the EOI, suppliers must submit a high-level overview of their proposed software solution, together with an indicative overview of costings. All information must be submitted exclusively through the Proactis portal. Submissions provided outside of the portal will not be considered.

• There is no formal evaluation or moderation undertaken during the EOI stage. The information provided will be used solely to confirm supplier interest and suitability to progress.

• Following completion of the EOI stage, the project team will notify selected suppliers via the Proactis portal and formally invite them to participate in the next stage of the process, the Request for Quotation (RFQ).
