CalMac Ferries Limited (CFL) are proposing to introduce an industry standard Asset Management software solution/CMMS which is Type Approved (SEE NOTE BELOW) , for the management of assets (primarily vessels, but also ports with associated infrastructure), maintenance and parts with all associated functionality in a project known as Asset Management Technology (AMT).

The new AMT system is expected to enable CFL to effectively control maintenance, stocking and technical purchasing activities/functions in a streamlined manner, delivering measurable efficiencies across the organisation and enabling further future improvements by adopting modern asset management technologies. The AMT system shall enable this aided by shared master data from within a centralised and standardised database.

NOTE: "Type Approved: A Software Solution which is Type Approved by a Classification society that is authorised to act as a Recognised Organisation (RO) for the survey and inspection of UK ships by the UK Flag state (MCA)".

two.2.4) Description of the procurement

CalMac Ferries Limited (CFL) are proposing to introduce an industry standard Asset Management software solution/CMMS which is Type Approved (SEE NOTE BELOW) , for the management of assets (primarily vessels, but also ports with associated infrastructure), maintenance and parts with all associated functionality in a project known as Asset Management Technology (AMT).

The new AMT system is expected to enable CFL to effectively control maintenance, stocking and technical purchasing activities/functions in a streamlined manner, delivering measurable efficiencies across the organisation and enabling further future improvements by adopting modern asset management technologies. The AMT system shall enable this aided by shared master data from within a centralised and standardised database.

The AMT system is likely to include the following functionality/requirements;

- Asset Register for assets across all sites

(including assets that can transfer between sites)

following industry standard SFI coding conventions.

The system shall provide the baseline “single source

of the truth” for asset specific technical data.

- Maintenance management:

- Work Order based maintenance plans and history for

all assets.

- Dockings and Projects

- Defect Reporting

- Stock Management:

- Housing standardised parts registers based upon

equipment types.

- Company wide stock management at multiple locations.

- Technical Procurement:

- Management of the ordering of equipment, parts and

services from approved suppliers.

- Contract & Supplier Management

- System Configuration

- The ability to work offline and be used on mobile

devices as well as on existing vessel networks.

- System based reporting.

- Workflow based processes across all functionality

with granular user and user group based permissions

to control user access across system wide.

- Integration with the following systems/areas:

- Current & potential future CFL corporate finance

systems.

- CFL corporate data warehouse and business

intelligence functions.

- 3rd party systems e.g. condition

monitoring/shipboard control systems etc’.

- Configuration of system and implementation across

fleet with training of users, inclusive of initial

data infill from CFL baselined data sources.

It is CalMac's intention to host premarket engagement workshops between March and June 2022. Suppliers who are interested in participating in these workshops must register their interest to do so by 18 February 2022.
