two.1.4) Short description

The Contract is for the hire and purchase of fine art shipping crates for National Galleries of Scotland (NGS) loans and touring exhibitions programme. The Supplier will provide crates for works of art as required by the NGS loans and touring exhibitions programme; and must ensure that crates provided meet the correct specification as set out in the Section 2 of the Invitation to Tender (ITT) document.

Crates for painting and works on paper will be hired for the duration of the loan or touring exhibition. These crates should be fully fitted out with foam ready for packing. Crates for sculptures are purchased and internal fit out is usually carried out by NGS technicians. T-frames may also be purchased where required.

The contract includes various crate and packing requirements, including painting crates, slotted crates for works on paper, bespoke sculpture and contemporary installation crates and T-frames.

Summary of scope of services include:

- To provide quotes for crates to be fitted out to technical dimensions and delivery and collection of crates as required;

- Invoicing crate hire or purchase costs directly to the borrower or their shipping agents;

- To incorporate new developments in crate hire products as they become available to the market;

- Provide a pro-active approach to environmental and sustainability criteria.

There is no commitment to a volume of work. Under this agreement, no minimum workload is guaranteed. Supplies will be agreed on an "as required" basis only.

The agreement will be non-exclusive i.e. NGS reserve the right, in certain circumstances, to procure out with the Contract Agreement, as and when required.

In the event of unsatisfactory performance by the successful Supplier and the termination of the contract be either party, NGS reserves the right to negotiate the continuance of the services with the second and third placed Suppliers.

National Galleries Scotland (NGS) are looking to procure a sole Supplier for the provision of Fine Art Shipping Crates.

The procurement will be conducted through the use of the Open Procedure. The SPD must be completed and returned with a tender response.

Economic Operators may be excluded from this competition if they are in any of the situations referred to in Regulation 58 of the Public Contracts (Scotland) Regulations 2015.

The objective criteria included in the SPD is detailed under section III of this Contract Notice.

National Galleries Scotland reserves the right to cancel the procurement at any time and not award a Contract. The expenditure, work or effort undertaken by Bidders prior to the Award of Contract is accordingly a matter solely for the commercial judgement of Bidders.

Late tenders may not be considered by National Galleries Scotland.
